It's a busy time of year, which has me thinking about the time management system that has been an absolute game-changer for me – the secret sauce that keeps me sane, super productive, and actually able to LIVE my life, not just work it.

As a Worship Director and Business Manager at a church plus lots to do for Profitable Musician, I know a thing or two about managing crazy schedules.

In fact, amid the season's demands, my husband and I were able to celebrate our 30th wedding anniversary with a wonderful two-night getaway this Monday through today.

The system I mentioned is my anchor, allowing me to balance demanding work, pursue my passions, and still have space for those precious personal moments (like that anniversary trip).

It's a time management system (not a fancy planner, but a convenient system that you will actually use). I've been using this system for over 10 years!

Let's get real – being a musician isn't just about creating killer tracks. It's about mastering the art of juggling multiple lives: your day job, family responsibilities, and your musical passion. Time is your most precious resource, and managing it effectively can be the difference between burning out and breaking through.

  • Your music career doesn't happen in a vacuum. Balancing work, family, and creativity requires strategic planning and intentional time allocation.
  • Missed opportunities are often the result of poor time management, not lack of talent.
  • Consistent progress beats sporadic bursts of inspiration every single time.

Think of Google Calendar as your personal music management superhero. Here's how to transform this free tool into your ultimate time-management assistant:

Quick Win Strategies:

  • Color-code your life: Use different colors for work shifts, family time, music practice, and gig prep.
  • Set up weekly blocks of "get it done" time for projects you're trying to finish like recording or a marketing plan.
  • Set recurring blocks for ongoing tasks like booking, social media posting or admin so you stay consistent and don't push these tasks off in favor of the "fun stuff" like songwriting. Your future self will thank you for keeping these calendar appointments with yourself.
  • Set recurring blocks for improvement areas like songwriting and vocal or instrument practice – treat them like non-negotiable appointments. That's the only way you'll get better over time.
  • Use reminder notifications to keep yourself accountable and on track.
  • Sync across all devices so your schedule is always at your fingertips.

Pro Tip: Block out dedicated time for your music just like you would for any other critical commitment. Your dreams deserve that level of respect! 💪

Actionable Implementation:

  1. Start by mapping out your current weekly schedule (job, personal responsibilities, etc.)
  2. Identify your most productive hours
  3. Create intentional time blocks for music-related projects, tasks and improvement as mentioned above
  4. Schedule a weekly appointment with yourself to evaluate how well you kept to your calendar the past week. Move any unfinished tasks to the next week (Google calendar makes this so easy - no white-out needed!)
  5. Make adjustments based on your previous week's successes and shortfalls when planning the next week.
